Terms of use

Last updated 13 October 2026. Version 2026-10.

Who we are

Site Control is provided by Phinda Systems (Pty) Ltd ("we", "us"). These terms apply when you or your company sign up for and use Site Control Office and Site Control Field. By ticking the box when you sign up, you accept them on behalf of your company. Contact us at support@sitecontrol.co.za.

The service

Site Control is online software for contractors: job budgets and costs, timesheets, buying, invoices, payment certificates and a phone app for site teams. It runs in a web browser. What each pack includes is shown on our pricing page and inside the app.

We work to keep Site Control available and your records safe, but we cannot promise it will never be unavailable. We may improve and change features over time.

Free trial

A new account gets 30 days of the Starter pack free, with no card needed. When the trial ends, your records stay readable, but you cannot add or change records until you choose a pack and pay.

Prices and payment

Prices are per company per month and are shown on our pricing page. Phinda Systems (Pty) Ltd is not registered for VAT, so no VAT is added. New customers get 45% off their first 3 paid months.

You pay by card through Paystack. When you pay, your card is kept by Paystack (not by us) and charged automatically each month on your paid-up date. We email each bill a week before it is charged. You can stop automatic payments at any time under Account. If a payment fails, we try again up to three times and email you. If a bill is still unpaid 7 days after its due date, your account is paused: you can still read your records, but not change them, until it is paid.

We may change prices with at least 30 days' notice by email. A new price applies from your next bill after the notice period.

Your records

Your records belong to your company. Only the people your account owner invites can see them. You are responsible for what you and your people capture, and for keeping your passwords private.

To help you, or to fix a problem, our support staff may open your company's records. Every time this happens it is recorded with the date and time, and your account owner can see how many times under Account.

We may use combined, anonymous figures about how Site Control is used (for example, the number of jobs run) to improve the product and to report to investors. These figures never name your company or show your prices or records.

Acceptable use

Do not use Site Control to break the law, to store content you have no right to, to try to reach another company's records, or to disrupt the service. We may suspend an account that does.

Cancelling

You can stop at any time. See our cancellations and refunds policy. After you stop, your records stay readable for 90 days so you can download them, after which we may delete them.

Liability

Site Control is a tool to help you manage your jobs. Decisions you make with it remain yours. To the extent the law allows, we are not liable for indirect or consequential losses, such as lost profit, and our total liability to you is limited to the amount you paid us in the 3 months before the claim. Nothing in these terms limits rights you have under the Consumer Protection Act or the Electronic Communications and Transactions Act where those apply to you.

Law

These terms are governed by the law of South Africa. We may update them, and will email account owners about important changes before they apply.
